Executive Assistant to the City Manager

General Description and Hiring Rate
The salary range for this position is $52,346.12 – $83,753.70 annually. Under direct supervision of the City Manager, the position performs responsible, professional, and administrative work in assigned areas. This position assists and supports the City Manager in a fast-paced work environment and serves as the liaison for all of City Administration. The position requires frequent and considerable independence of action, strong organizational skills, and high-quality standards to ensure accuracy in communication, correspondence, scheduling, and special projects.

Essential Job Functions
Provides high-level executive assistance to the City Manager, ensuring accurate handling of specialized information and efficient operations through exceptional attention to detail, timely execution, and clear communication.
Performs a wide range of complex administrative duties, including drafting correspondence, managing a dynamic calendar of appointments, and coordinating special and ongoing projects as assigned by the City Manager.
Serves as the liaison for the City Manager’s Office with residents, businesses, local organizations, and other agencies.
Researches, prioritizes, and follows-up on sensitive issues and concerns addressed to the City Manager and recommends appropriate course of action, referral, or response.
Performs complex tasks requiring discretion, initiative, independent judgement, and working knowledge of overall city organization and programs.
Prioritizes needs, handles matters expeditiously and leads coordination of follow-through on city-wide initiatives to successful completion, often with conflicting deadlines.
Reviews financial documents and reports, approves departmental purchases, payments, and requests for expenditures.
Manages sensitive information utilizing good judgement, discretion, tact, and diplomacy.
Participates in special projects, works in collaboration with internal staff, and provides assistance to departments when requested.
Remains active in professional organizations and associations, stays current with trends.
Provides information to other departments, elected and appointed officials, and the public.
Performs other duties as assigned.

Minimum Qualifications
KNOWLEDGE, ABILITIES, AND SKILLS
Ability to effectively communicate and collaborate with elected officials, members of the public, and Department Heads.
Thorough knowledge of municipal organizational structure and operations, problem solving, conflict management, and quality customer relations techniques.
Ability to think critically, perform research and analysis, and strategically implement a broad range of activities.
Being flexible, proactive, and progressive while communicating issues and general concerns.
Ability to develop and maintain effective working relationships.
Ability to communicate clearly, orally and in writing.
Ability to establish and maintain effective working relationships with other employees and members of the public as necessitated by the assigned work.

TRAINING AND EXPERIENCE
Bachelor’s degree from an accredited university with course work in public or business administration, or other related field. Two to five years of executive level administrative experience; prior administrative experience in public sector or non-profit environment; or equivalent combination of training and experience which provides the knowledge, skills, and abilities. Completion of the Local Government Management Fellowship (LGMF) program preferred. Valid Florida Driver’s License.

Physical Requirements and Environmental Conditions
PHYSICAL REQUIREMENTS:

Acceptable eyesight (with or without correction).
Acceptable hearing (with or without hearing aid).
Ability to communicate both orally and in writing.
Use of fingers, use of hands.
Sitting, standing, walking bending.
Ability to access, input and retrieve information and data from a computer.
Ability to access file cabinets for filing and retrieval of data.
Infrequent lifting and moving of up to thirty (30) lbs.

ENVIRONMENTAL CONDITIONS:
Works inside in an office environment.
